Meeting Space

Non-profit groups and local community organizations are invited to hold meetings in the meetings space that is available at many of our stores (Meeting space sizes and amenities vary).

You’re welcome to see the space during regular business hours before you rent or fill out the application. Just ask the manager to show you the space the next time you’re in the store. The manager will also be able to provide you with the seating capacity and amenities for their location. All meeting space rentals are done through the Natural Grocers Home Office and cannot be done by the individual store.

Please complete an application for each meeting you wish to hold at a Natural Grocers location. You will be contacted within 5 business days after receipt of your application.  Please submit all requests 7 – 10 business days prior to your event.

 

Fees & Guidelines

  1. Rooms may be used to promote products that are sold at Natural Grocers stores.
  2. Meetings for promoting competing products (products that are similar to those sold at Natural Grocers) will not be approved. For example, promoting foods, body care products or a brand of supplements only sold by doctors or multi-level companies will not be approved.
  3. Meeting Space use must be within regular store hours. Click here to see specifics for your location.
  4. Kitchens in Meeting Spaces MAY be available for rental use. If you are interested in using the kitchen for cooking, please indicate that in “Room Setup Requirements” on the application. All food prepared in the kitchen must be gluten-free. If kitchen is used, cleanup to original state is required.
  5. Rental fee Must be received by the Natural Grocers Home Office 1 week prior to your event before room access is granted.
    • $25.00/hour (2 hour min. required. Fees include your time to setup and cleanup.)
  6. Payment form: checks only. Make payable to Natural Grocers.
  7. Agreed upon Meeting Space time and/or date reservation changes or cancellations must be approved by Natural Grocers.
  8. The contact person for the renter’s organization must check in upon arrival and out before departure with the store manager who will walk the room to be sure damage has not occurred during the organizations’ use of the Meeting Space.
  9. After Meeting Space use, renter is responsible for gathering trash, light housekeeping and replacing furniture to pre-rental arrangement. After Kitchen use, renters are responsible for gathering trash, washing all kitchen dishes and tools, wiping counters and restoring kitchen space to original state.
  10. Any damage to the Meeting Space or Kitchen will be promptly corrected by Natural Grocers and the renter will be billed for repairs.
  11. No alcoholic beverages, smoking, candles or illegal activities are allowed.
  12. Phone and internet capability may be available but no technical support services are available at Natural Grocers.
  13. Some organizations may be required to provide proof of insurance naming Natural Grocers as loss payee.
  14. Natural Grocers is not responsible for store and Meeting Space closure due to damages, repairs or weather.
  15. Natural Grocers reserves the right to refuse service to anyone at any time for any reason.

 

Complimentary Use Guidelines

One of the ways in which Natural Grocers supports the community is by helping non-profit organizations develop their outreach. When there is a demonstrated need for a place to meet, organizations meeting the following criteria may be able to use a Natural Grocers Meeting Space at no charge. ​Final determination of complimentary use will be made by Natural Grocers.

  1. The inquiring organization must demonstrate purpose of educational, humanitarian and/or charitable causes or community benefit.
  2. While we believe in the individual’s need and right to pursue religious and spiritual practice, Natural Grocers can not be perceived as aligning with any one spiritual, religious or political practice and therefore, complimentary event hall use will not be approved.
  3. The organization does not have to qualify as a 501 (c) 3 non-profit but simply have a not-for-profit profile (may require some form of reference).
  4. The Meeting Space cannot be used to promote any private practice, business or personal agenda for financial gain.
  5. No income producing participation fees may be collected by the organization or any individual.
  6. The Meeting Space is not available for parties or celebrations.
  7. Certain organizations may be required to provide proof of insurance naming Natural Grocers as loss payee.

  9. Agreed upon Meeting Space time and/or date reservation changes need to be approved by the Natural Grocers Home Office Meeting Space Coordinator.
  10. Cancellations are highly discouraged but if the necessity arises, contact store management immediately and then contact the Natural Grocers Home Office Meeting Space Coordinator.
  11. All set up and clean up each time the Meeting Space is used is the responsibility of the organization. The room must be returned to the state it was in prior to the organization’s use of the room, unless store management has indicated otherwise.
  12. The contact person for the organization must check in upon arrival and out before departure with the store manager who will walk the room to be sure damage has not occurred during the organization’s use of the Meeting Space. Any damage to the Meeting Space will be promptly corrected by Natural Grocers and the organization or contact person will be billed for repairs.
  13. Natural Grocers is not responsible for store and event hall closure due to damages, repairs or weather.
  14. Phone and internet capability may be available but no technical support services are available.
  15. Kitchens in Meeting Spaces are NOT available for use but food may be brought in as desired. No alcoholic beverages, smoking, candles or illegal activities are allowed. A charge may be incurred to remove difficult food or drink stains that occur during an organization’s meeting.
  16. Natural Grocers reserves the right to refuse service to anyone at any time for any reason.
